Call for SWG scientific meeting proposals

The call for SWG scientific meeting proposals is closed.

As part of its aim to educate and share novel research findings, EHA provides financial support for specialized working group (SWG) scientific meetings.

These scientific meetings are a way for SWG members to:

  • Share updates on their research
  • Network with colleagues from different countries
  • Establish professional connections that might lead to future collaborations

Support EHA can provide

We can:

  • Provide funding of up to €25,000 per scientific meeting
  • Support up to three SWG scientific meetings per funding cycle

You can use these funds for:

  • Meeting facilities and event organization—in the form of in-kind support from EHA
  • Flights—these must be economy class tickets for flights of less than eight hours or business class tickets for flights of over eight hours
  • On-the-ground transportation for the SWG Executive Board and speakers—these costs would be reimbursed after the meeting
  • Two or three nights of hotel accommodation for a maximum of 18 speakers/chairs, plus two speakers from outside of Europe
  • Complimentary registration for the session's chairs and speakers
  • A faculty dinner and welcome reception

The amount of support we can provide for one scientific meeting does not change depending on the number of SWGs or hematology societies involved in the proposal.

A single SWG can submit multiple proposals.

If all of your meeting costs cannot be covered with this support, you'll need to find additional funding. This could be by:

  • Charging a registration fee
  • Obtaining sponsorship

How to apply

To apply for support, the Chair or Vice-Chair of the relevant SWG must:

Guidance for Chairs or Vice-Chairs who are completing the form

When you complete the form, you'll be asked to provide information on the meeting's:

  • Format
  • Learning goals and objectives
  • Target audience
  • Expected number of participants
  • Date and time

The expected number of participants must be at least:

  • 50 people if your meeting is on a ‘niche’ topic
  • 100 people if your meeting is on popular clinical topic

You must check your proposed format, target audience, and dates to avoid overlaps with similar meetings organized by other societies.

What happens after you apply

Once the deadline has passed, the SWG Committee will assess your application. In particular, it will consider the:

  • Novelty and relevance to current trends in hematology
  • Engagement, scientific, and educational value
  • Sponsor interest (for clinical meetings)
  • Minimum number of participants expected to attend

The committee will make its decision and inform successful applicants by June 2024. If your application is successful, the EHA Executive Office will contact you to discuss the next steps.
