How to apply to be an SWG member

A step-by-step guide to applying for specialized working group (SWG) membership.

1. Go to the EHA Portal

To apply for an SWG, you must be registered on the EHA Portal. This is the online platform that we use to receive and manage applications for SWG membership, and for initiatives like research training and grants.

You can find a link to the EHA Portal on the main page of every SWG. You can also go there now using the main EHA Portal link.

2. Create or access your EHA Portal account

If you do not have an account

If this is your first experience with the EHA Portal, you'll need to create an account. To do this, please select the 'Create an account now' button and fill in the information required by the system.

Once the account is created, you'll need to submit it for an administrator check. This is the process of verifying an account. Our administrators will review the information and will either allow it or send back the request.

Within two business days, you'll receive an email response. In most cases, this will contain a prompt about creating a password. Once you've done this, you'll have access to the portal and our application forms.

If there are any problems with your request, the administrator will let you know by email.

If you already have an account

If you already have an account, please enter your credentials in the left part of the screen and select 'Sign in.'

If you've forgotten your password

If you already have an account and have forgotten your password, you can easily retrieve it. To do this, select 'Forgot Password?' and enter your email address. Within a few minutes, you'll receive an email with a link that you can use to change your password. (In some cases, the email might end up in your spam folder.)

Please be aware that the link will expire in 30 minutes. If you do not create a new password within this time, you'll need to go through the process again.

If you have both a grantee and a reviewer account

Some users have both a grantee and a reviewer account in the EHA Portal.

To apply for an SWG, you need to select grantee account only.

3. Apply for an SWG

Access the SWG application page

Once you've logged in to the EHA Portal, you'll see 'Apply for Scientific Working Group(s)' on the left part of your screen. Select this option to access the SWG application page.

Complete and save your application

On the SWG application page, you'll see some introductory text about EHA SWGs and an 'Apply for SWG(s)' button. To proceed, select the button.

You'll now need to:

  • Select the SWG you'd like to apply for
  • Fill in the necessary information about you
  • Attach your CV

Once you've completed this step, you must save your application and close it.

Submit your application

Once you've completed the above steps, your application will appear in the 'Pending applications' tab on the left part of your screen.

To submit it for consideration, please go there, open the application, and click 'Submit' at the bottom of your screen.

You should now see your application in the 'Submitted applications' tab, which is also on the left part of your screen.

After you've submitted your application

You can track the status of the application in the 'Submitted applications' tab.

Once the SWG Chair and/or Vice-Chair has evaluated it, you'll receive an email. Please be aware that the process might take some time depending on ongoing initiatives organized by SWG. If you have any questions, please email swgs@ehaweb.org.

EHA membership

You must be an EHA member to join an SWG. If your application is approved, please make sure that you've paid for your EHA membership.
