EHA Meeting Hub
Book a free-of-charge space at EHA2025 where you can meet your colleagues and further your work in person.
What is the EHA Meeting Hub?
The EHA Meeting Hub is a bookable on-site space at the EHA Congress venue in Milan.
It's available from Thursday, June 12–Sunday, June 15.
Location: MiCo Milan: Hall 4 Level 2
If you're eligible to use it, the hub is a place where you can:
- Brainstorm
- Exchange new ideas
- Develop your work
Who can use the space?
The hub can be used by active hematology organizations and research networks that are:
- Academic
- Institutional
- Non-profit, non-commercial, or non-governmental
The closed-door, by-invitation-only nature of your meeting will give you space to connect, network, and discuss your activities in private.
Alternative options for pharmaceutical companies
Pharmaceutical companies cannot apply to use the EHA Meeting Hub. If you work for one of these companies, you can request to use an industry meeting room, the business lounge, or the Sponsor Meeting Hub.

Restrictions, capacity, and set-up
Slots can be booked:
- Between the hours of 08:00 and 17:30 — except on Sunday, June 15, when the hub will close at 14:00
- For a minimum period of 45 minutes
- For a maximum period of two hours
The largest room has a maximum capacity of 22 people (in boardroom style).
The rooms consist of conference tables, chairs, and a monitor, in case of presentations.
The room set-up is fixed. Water stations will be provided in the room. No additional catering can be ordered.
How to request a meeting room
Please send your request for a meeting room to the EHA Congress Secretariat at eha-congress@interplan.de with the following information:
- Name of the meeting
- Purpose of the meeting in two to three sentences
- Preferred time slot (with preferred back-up slot) and duration of the meeting
- Expected number of participants
- Contact details of the organizer (full name, affiliations, email, and phone number)
Based on the submitted information and current availability of the meeting rooms, you'll be offered a room and a time slot.
Bookings work on a first come, first served basis. Once you submit your request, it may take up to two weeks for you to receive an official confirmation.
Actions after booking a meeting room
If you're a meeting organizer
Before the meeting
- Inform your guests of your meeting time slot, official meeting name, and your contact on site.
- Ensure you can access the meeting room by picking up your Congress badge (at the registration area) or the temporary pass from the EHA Meeting Hub registration desk.
- Arrive 15 minutes before your meeting begins to welcome your guests into the meeting room.
During the meeting
- Take responsibility for your meeting, the guests, and the meeting room.
- Ensure that your meeting finishes on time. Any meeting that runs late will have an impact on the next booking.
After the meeting
- Leave the room clean and tidy.
- Ask your guests to return their temporary passes to the EHA Meeting Hub registration desk.
If you've been invited to a meeting
Before the meeting
- Present yourself at the EHA Meeting Hub registration desk 15 minutes before the meeting's start time.
- State the meeting's name, time slot, and contact person.
- Retrieve your temporary pass from the EHA Meeting Hub registration desk — or, if you're already registered, pick up your official Congress badge at the registration area.
After the meeting
If you picked up a temporary pass, you should return this to the EHA Meeting Hub registration desk.
This pass is only valid for the specific meeting you've been invited to and will not give you access to Congress.
Canceling a meeting
You can only cancel or reschedule a meeting once. To do this, you must email eha-congress@interplan.de at least one month before the date of your meeting.
All cancellation requests must be received by May 15, 2025.
If you cancel at the last minute or fail to show up without providing a reason, your organization may not be able to book spaces in the future.
