Apply for an EHA Research Mobility Grant

An overview of the actions you’ll need to take when submitting an EHA Research Mobility Grant application. You can also refer to our application checklist. 

Before you begin

Make sure you’ve read and understood: 

You’ll also need to share our EHA Research Mobility Grant agreement template with your heads of department and institutional representatives. It’s important that these individuals include a statement, in their support letters, that they understand and agree to the conditions in the grant agreement from the outset.

Please note that at this stage you do not need to fill in the grant agreement template or get it signed.

EHA Portal account

To apply, you must be registered on the EHA Portal.

If you already have an EHA Portal account

You can either: 

  • Log in using your existing credentials 
  • Select ‘Reset or create password’ if you cannot remember your details 

When you log in, make sure you use the email address that EHA has on file. 

If you do not have an EHA Portal account

Go to the EHA Portal and follow the steps under the ‘Create your user profile’ heading. 

Please keep in mind that, once you register, it may take up to two business days before your registration is processed and you get access to the system. 

Registrations are approved from Monday to Friday between 09:00 and 17:00, Amsterdam time. 

If you submit your application after the deadline date due to late EHA Portal registration, it will not be considered.

Application form

To apply for an EHA Research Mobility Grant, you should complete the application form on the EHA Portal. 

You will find the instructions on the platform. 

Budget information

In the ‘budget’ section of the application form, be sure to include a detailed breakdown of items. This should include: 

  • Maximum required funding
  • Costs 
  • How items will be used during the project 

All budgets will require final approval by EHA’s Fellowships and Grants Committee.   

Documents you must submit

As part of your application, you also must submit the following documents. All documents must be in PDF format. 

Project proposal

You’ll need to submit a project proposal explaining what you’ll do in the host institute, including a scientific justification. (Maximum of two pages.)   

Each page should have a page number, your name, and the project title in the header or footer. 

Please save your proposal as: ‘FirstName.LastName_ProjectProposal.pdf.’ 

Letters of support

Please combine the following documents into a single PDF and save it as:  ‘FirstName.LastName_SupportLetters.pdf.’ 

The documents should be digital files rather than scans. Each page should have a page number, your name, and the project title in the header or footer.  

1. Letters from department heads at your home and host institutes

You’ll need to submit signed letters from the department heads of both of your home and host institutes. These letters should be on institute letterheads and be no longer than one page each.  

Each letter must include a statement agreeing to EHA Research Mobility Grant agreement, and detail how the department will cover overhead costs if required by the institute.

Please note that at this stage you do not need to fill in the grant agreement template or get it signed.

2. Letter from your mentor at home institute

You’ll need to submit a signed letter from your mentor at your home institute. This letter should be on institute letterhead and be no longer than one page.   

The letter should explain: 

  • Why they support your application 
  • How this is a synergistic collaboration 
If your home mentor is also the department head

You can submit a single letter covering both points (1 and 2). This letter should be no more than two and a half pages long.  

3. Letter from your mentor at host institute

You’ll need to submit a signed letter from your mentor at your host institute. This should be on institute letterhead and be no longer than two pages.   

The letter should explain: 

  • Why you’re qualified (nominated) for this grant 
  • How this is a synergistic collaboration 
  • If applicable, how additional costs will be covered by the host institute 
If your host mentor is also the department head

You can submit a single letter covering both points (1 and 3). This letter should be no more than three pages long.
