How to apply for an EHA Research Mobility Grant

  • Our EHA Research Mobility Grant agreement template. You’ll also need to share our  with your heads of department and institutional representatives. It’s important that these individuals include a statement, in their support letters, that they understand and agree to the conditions in the grant agreement from the outset.

Please note that at this stage you do not need to fill in the grant agreement template or get it signed.

EHA Portal

To apply for an EHA Research Mobility Grant, you should complete the application form on the EHA Portal (Fluxx).

If you already have an EHA Portal account, you can log in using your existing credentials or select ‘Reset or create password’ if you cannot remember your details. 

If you do not have a EHA Portal account, go to the EHA Portal  and follow the steps under the ‘Create your user profile’ heading. Registrations are approved from Monday to Friday between 09:00 and 17:00 (Amsterdam time) and it may take up to two business days before your registration is processed. If you submit your application after the deadline date due to late EHA Portal registration, it will not be considered.

    • Maximum required funding
    • Costs 
    • How items will be used during the project 
  • Please note that final budgets are subject to approval by EHA’s Fellowships and Grants Committee
  • As part of your application, you also must submit the following mandatory documents

Mandatory Documents

All documents must be in PDF format. Each page should have a page number, the applicant’s name, and project title in the header or footer.

Project Proposal: You’ll need to submit a project proposal explaining what you’ll do in the host institute, including a scientific justification. The proposal should be maximum two pages (including figures and references), and each page should have a page number, your name, and the project title in the header or footer. Please save your proposal as: ‘FirstName.LastName_ProjectProposal.pdf’

Support Letters: Please collect the following support letters, combine them into a single PDF and save it as: ‘FirstName.LastName_SupportLetters.pdf’

  1. Letter from your mentor at home institute (maximum one page). The letter should be on institute letterhead and include:
    • Why they support your application 
    • How this is a synergistic collaboration 
  2. Letter from your mentor at host institute (maximum two pages). The letter should on be institute letterhead and include:
    • Why you’re qualified (nominated) for this grant 
    • How this is a synergistic collaboration 
    • If applicable, how additional costs will be covered by the host institute 
  3. Letter from the department head at your home institute, on institute letterhead, agreeing to EHA Research Mobility Grant agreement and detailing how the department will cover overhead costs (if required by the institute). You can use this template.
  4. Letter from the department head at your host institute, on institute letterhead, agreeing to EHA Research Mobility Grant agreement and detailing how the department will cover overhead costs (if required by the institute). You can use this template.

Note: If your home or host mentor is also the department, you can submit a single letter covering all the necessary points.
