The European Hematology Association (EHA) announces an Invitation to Tender (ITT) for PCO services for the EHA Annual Congress

The European Hematology Association (EHA) is pleased to inform the conference and meeting community that it will release an Invitation To Tender (ITT) for the appointment of a Professional Conference Organizer (PCO) for the EHA Congress in 2023. Interested parties are expected to collaborate with EHA for at least three consecutive years (2023, 2024 and 2025).

 

An initial Request for Information (RFI) will be released to seek interest from qualified PCOs on October 15, 2021, followed by the official issuance of the Invitation To Tender (ITT) to selected PCO’s.

 

The EHA promotes excellence in patient care, research, and education in hematology. The EHA Board, comprising 16 members, is responsible for steering the association. Day-to-day activities are carried out by the EHA Executive Office based in The Hague, The Netherlands.

 

EHA seeks the services of an exceptionally professional, highly-competent, well-managed, flexible, and creative Conference Organizer to assist us in the delivery of a competitive, successful Congress. The PCO will be fully responsible in conjunction with the EHA Congress and Meetings Department for the Congress planning, organization, and execution to ensure it is well-coordinated, runs efficiently, and is profitable in line with EHA requirements.

 

The EHA Congress is held every year in June and includes a wide spectrum of participants from various hematology specialties and allied disciplines, as well as pharmaceutical companies. The Congress generally attracts between 10.000 and 15.000 delegates, the majority being international participants. The Congress incorporates an exhibition and is likely to be held in a hybrid format, with a strong virtual program and presence. The Congress program usually consists of about 10 parallel sessions with workshops and sponsored sessions. This is complemented by a social program when the Congress is happening onsite.

 

The appointed PCO will manage the future three EHA Congresses, which include the EHA2023 Congress, taking place from June 8-11 2023; the EHA2024 Congress, taking place from June 13-16, 2024; and the EHA2025 Congress, taking place from June 12-15, 2025. The venue for the EHA2023 Congress has already been secured by EHA. Tender respondents therefore are not required to secure the venue/hold dates for this edition but will be expected to source venues for the future editions beyond 2023 in collaboration with EHA.

 

Indicative Timeframe for the RFI & Tender Process

  • Request for Information (RFI) document submission deadline 27 October 2021,
  • Invitation To Tender (ITT) to pre-selected Tenderers: November 2021,
  • Closing date/time for Tender submission: November 2021,
  • Interview of selected Tenderers: December 2021,
  • Announcement of final decision: January 2022.
