Are you an event manager and do you have an active interest in medical science? Would you love to play an active role in the organization of EHA’s annual Congress? We are looking for a highly organized, results-driven, and people-oriented Project Manager (Logistics), Congress.

About the role

As a key member of the EHA Connect team, you will play a pivotal role in organizing a variety of deliverables for EHA's annual Congress. You will take care of the administration and execution of various aspects of the event's:

  • Logistics
  • Platform
  • Promotion
  • On-site delivery
  • Follow-up activities

The Project Manager reports on a day-to-day basis to the Senior Project Manager, Congress. You ultimately report to the Head of Department.

Only candidates who live in the Netherlands will be considered. If you are a non-EU/EEA national, you must possess a valid work permit for the Netherlands.

Your core responsibilities

You will mainly support various tasks related to the organization of the annual Congress.

Event management

  • Coordinate and plan projects and aspects of the annual Congress, including registration, platform, and assisting VIPs.
  • Be accountable, in collaboration with the Senior Project Manager, for the preparation, logistics, and implementation of aspects of the annual Congress.
  • Monitor the schedule and progress of projects, identify bottlenecks, and ensure seamless coordination.

Project execution

  • Be present on-site during Congress to manage prepared projects. Work in close collaboration with the Senior Project Manager and Connect team.

Administration and information management

  • Collect, interpret, and process high-quality data and add it to databases.
  • Develop standard operating procedures (SOPs), monitor processes, identify bottlenecks, and make suggestions for improvement.

Relationship management

  • Strengthen and/or establish new relationships with official suppliers and stakeholders; use these partnerships to achieve excellence in projects, activities, and meeting production.
  • Represent EHA and EHA values at relevant meetings and networks.

Your profile

  • Education: A bachelor’s degree or higher.
  • Experience: At least five years’ event management experience. Experience of medical conferences is a plus.
  • Availability: 40 hours per week.
  • Experience in the meetings, incentives, conferences, and exhibitions (MICE) industry.
  • Ability to multitask and work to a tight deadline is essential.
  • Ability to fluently communicate in English (in writing and orally).
  • An eye for detail.
  • Ability to develop and coordinate various priorities.
  • Excellent interpersonal skills, including the ability to communicate, collaborate, and build relationships within the team and with all stakeholders.
  • Willingness to travel outside the Netherlands on a regular basis (mostly within Europe).
