Can you lead on all aspects of meeting organization, including choosing a venue, finding a perfect place for dinner, and informing all stakeholders in a timely and effective manner? If you can, our Connect team is looking for a Travel and Learn Project Manager.

About the role

We are looking for a multitasking project manager who can:

  • Handle all of the organization's travel requests
  • Support the strategic management of resources
  • Build relationships
  • Manage the risks associated with internal/external meetings and travel
  • Act as a link between EHA's Connect team, Office Management team, People team, and all other departments

As a key member of the Connect team, you will play a pivotal role in organizing a variety of deliverables.

The Travel and Learn Project Manager reports on a day-to-day basis to the Senior Project Manager, Meetings. You ultimately report to the Head of Connect.

Important information about this opportunity

Only candidates who live in the Netherlands will be considered. If you are a non-EU/EEA national, you must possess a valid work permit for the Netherlands.

A declaration of conduct (Verklaring Omtrent het Gedrag) check will be carried out as part of the screening procedure.

Your core responsibilities

Travel system management

  • Ensure stakeholders use the system correctly.
  • Train new stakeholders (employees and others) on successfully using the travel system.
  • Solve bottlenecks.

Organization of internal meetings and management of travel arrangements

  • Book flights and hotels, and lead on other logistics.
  • Oversee and manage budgets for travel and accommodation, in coordination with the meeting organizer.
  • Develop and implement travel policies to ensure efficient and safe travel.
  • Establish and maintain relationships with travel agencies, hotels, consultants, and other service providers. Negotiate master contracts.

Other responsibilities

  • Provide internal training for the booking tools and support for staff and departments on travel procedures.

Your profile

  • Education: A bachelor’s degree or higher.
  • Experience: At least four years' experience of event management, travel management, or the hotel industry. Medical sector experience is a plus.
  • Availability: 40 hours per week.
  • Excellent communication and advisory skills.
  • Good planning skills and the ability to manage multiple projects.
  • Strategic decision-making and problem-solving.
  • Able to build and maintain relationships with vendors.
  • Able to complete a risk assessment and make decisions under pressure.
  • Affinity with the medical field and healthcare profession.
  • Cultural sensitivity and awareness.
  • Effective negotiation skills.
  • Good project management skills.
  • Excellent verbal and written communication skills in English.
  • Willingness to travel outside the Netherlands on a regular basis (mostly within Europe).
