Hematologic diseases afflict millions of Europeans each year. The European Hematology Association (EHA), located in the heart of The Hague (the Netherlands), is a non-profit professional association serving clinicians and researchers with an active interest in hematology in Europe and beyond. Our mission is to promote excellence in patient care through education, research, and advocacy.

Hematology is constantly changing and evolving. We help our members stay up to date by delivering a structured educational program, created by hematologists for hematologists. We offer a range of career development programs to help clinicians and researchers grow professionally and personally. We also advocate for hematologists and hematology at local and international levels.

One important pillar of the EHA strategy is the annual EHA Congress. Attracting thousands of researchers, clinicians, and other stakeholders active in the field of hematology, the EHA Congress is:

  • The premier hematology event in Europe
  • A major meeting and connection point for the broader hematology community

Are you an experienced project manager in scientific/medical congresses? Would you love to play an important role in the organization of EHA’s annual Congress? We are looking for a Senior Project Manager, Congress (40 hours per week).

About the role

The Senior Project Manager, Congress, is part of the Connect team and reports to the Head of Connect. The role plays a pivotal role in organizing the annual EHA Congress. In this capacity, you will serve as the primary point of contact for all logistics, planning, and organizational aspects related to the Congress. Your responsibilities will involve close collaboration with the Connect team, the EHA Executive Office, suppliers, and stakeholders, as well as the PCO overseeing the execution of the Congress

You will collaborate with a Project Manager for logistical coordination and an Assistant Project Manager for the sponsorship program. Additionally, you will work closely with the Senior Content Program Manager to ensure alignment with EHA's goals and mission, driving the success of the annual Congress in a professional and timely manner.

Your responsibilities

  • Taking responsibility for the delivery and performance of the annual Congress.
  • Overseeing, coordinating, and driving decision making on the overall Congress logistics, organization, and planning.
  • Managing all ancillary events organized by EHA departments during the EHA Congress.
  • Setting up the registration system.
  • Overseeing the Congress platform setup.
  • Executing promotional campaigns (mailing, platforms, and websites).
  • Overseeing catering management and VIP arrangements.
  • Contributing to the development of the social program.
  • Administering budget management.
  • Facilitating the organization of special sessions and adherence to protocols.
  • Leading and managing (small) project teams. Motivating project team members to excel and deliver in the best manner possible.
  • Consolidating stakeholder and supplier relationships.
  • Collaborating closely with stakeholders and suppliers.

Your profile

  • A bachelor’s or master’s degree.
  • Over seven years of international congress management experience is required (scientific/medical congresses is a plus).
  • Knowledge of MICE/PCO, logistics, organizational planning, medical congresses, sponsoring, and the pharmaceutical industry.
  • Ability to fluently communicate in English (in writing and orally).
  • Demonstrable expertise in project management, congress/conference management (logistic, planning, organization).
  • Team leadership skills.
  • Good stakeholders/supplier management skills.
  • Ability to collaborate and network.
  • Good time management skills and able to multitask.
  • Experience with (financial) reporting.
  • Living in the Netherlands (for non-EU/EEA nationals, possession of a valid work permit is required).
