Project Manager, EHA Research Projects

The European Hematology Association (EHA), located in the heart of The Hague (the Netherlands), is a non-profit professional association serving clinicians and researchers with an active interest in hematology in Europe and beyond. Our mission is to promote excellence in patient care through education, research, and advocacy.

Hematology is constantly changing and evolving. We help our members stay up to date by delivering a structured educational program, created by hematologists for hematologists. We offer a range of career development programs to help clinicians and researchers grow professionally and personally. We also advocate for hematologists and hematology at local and international levels.

We are looking for an experienced and enthusiastic Project Manager, EHA Research Projects (32–40 hours per week).

About the role

The Project Manager, EHA Research Projects, is part of the Research team and reports to the Head of Research.

In this role, you will:

  • Lead the execution of the yearly EHA Mentorship program
  • Play a central role the coordination of EHA Alumni Networks, the EHA Map of Research and research job opportunities
  • Collaboratively support the delivery of EHA Research Trainings, the EHA Research Conference, EHA Grants, the collaboration with Marie Sklodowska Curie networks, and other activities within the EHA Research department

Your responsibilities

  • Coordinate the complex programs: EHA Mentorship Program, EHA Alumni Networks, EHA Map of Research and job board. Act as a first point of contact and deal with Congress organizers, communication specialists, and external experts to address complex aspects of implementation.
  • Be accountable for the preparation, logistics, budget and expenditure management, implementation, monitoring, and evaluation of the programs. Actively support the delivery of EHA Research Trainings, the EHA Research Conference, EHA Grants, the collaboration with Marie Sklodowska Curie Actions networks, and other activities within the EHA Research department.
  • Maintain an overview and monitor the schedule and progress of the programs. Identify bottlenecks and ensure coordination with related processes and projects.
  • Collect and analyze information, trends, and developments in EHA mentoring and alumni networks. Advise on new services, business, or project opportunities and their arrangements.
  • Design program templates, identify needs and tools, and write up the standards for the implementation of projects (SOP/workflow writing).
  • Organize the communication and promotion of all the above-mentioned programs in liaison with the Communications team.
  • Examine and monitor coherence and integration with other projects and teams.
  • Ensure that the programs meet internal quality standards and rules, with specific attention to standards developed in collaboration with Communication and Community teams.
  • Identify and analyze developments and needs in the areas of the EHA Mentorship Program, the EHA Alumni Networks, and researcher opportunities. Translate these into (improvement) proposals.
  • Advise management about the organization of complex programs.
  • Manage and organize the EHA Mentorship Program, EHA Alumni Networks, and opportunities for researcher databases. Collect and analyze data/information and advise based on the analysis of these results.
  • Collect data for reports and draw up complex management reports and presentations (for management, stakeholders, and members).
  • Create opportunities for researchers, strengthen and establish new relationships, and use these partnerships and authorities for the realization of all assigned programs.
  • Represent EHA at relevant meetings and networks.
  • Organize annual EHA Mentorship Program events/meetings to bring together mentees and mentors, and alumni after a few years.
  • Seek opportunities to enlarge the pool of volunteer mentors and faculty for the EHA Mentorship Program and EHA Research Trainings.

Your profile

  • A bachelor’s or master’s degree.
  • Five to ten years’ experience of project management experience in stakeholder management, networks, and events organization, preferably in the medical/healthcare sector.
  • A strategic thinker with project development and leadership skills.
  • Project, event, and supplier management skills.
  • Strong stakeholder management skills.
  • Program management (overseeing and monitoring the entire program, i.e. the umbrella of multiple projects needed to achieve the goal of the program).
  • Able to work together with internal and external parties to make the program ‘fly.’
  • Able to direct and motivate team members (project managers) in the execution of program related tasks and activities.
  • A team player who is strong in building relations, shaping collaborations, and maintaining relationships.
  • Time management skills.
  • Experience with financial and activity reporting
  • Ability to fluently communicate in English (in writing and orally).
  • Willing to travel within Europe for week-long onsite workshops/congresses/meetings, at least six times a year.
  • Living in the Netherlands (for non-EU nationals, being in possession of a valid work permit is required).
